Message trace and deliverability

Find out what happened to an outgoing message, watch bounce rates, and check SPF, DKIM and DMARC for your domains.

Message trace#

Org Panel > Message trace answers "did my message go out?". Search by sender, recipient, status and date. The default range is 7 days and history is kept for 90 days.

StatusMeaning
ScheduledWaiting to be sent at the time chosen
QueuedAccepted and waiting to be delivered
SentHanded to the receiving server
DeferredThe receiving server asked us to try again later
BouncedThe receiving server refused it
RejectedRefused before sending
Blocked by DLPStopped by one of your DLP rules

Trace stores addresses, status and the first 60 characters of the subject. It stores nothing for end-to-end encrypted messages' subjects and never stores message bodies. Trace covers mail sent from the SipherMail web and mobile apps. Mail sent from other clients over SMTP is not traced.

Check live queue asks the mail server about messages still waiting, limited to your own domains.

Deliverability#

Org Panel > Deliverability shows sends per day, bounce rate, hard and soft bounces and the recipient domains that bounce most. A bounce rate above 5 percent is flagged as a warning and above 10 percent as critical, once at least 20 messages have been sent.

Domain email authentication#

Org Panel > Domains shows MX, SPF, DKIM and DMARC for each domain, the exact record to add, and a copy button. It also warns when SPF needs more than 10 DNS lookups, which makes it invalid.

For DMARC, move in steps: start with p=none and a reporting address, then p=quarantine, then p=reject once reports look clean. SipherMail rechecks verified domains and raises an alert if a record stops working.
