Calendar resources

Add meeting rooms and shared equipment that members can reserve from the calendar, with double bookings refused automatically.

Calendar resources are bookable resources for your whole organisation. Members reserve them while they create a calendar event, and a booking is accepted automatically when the resource is free.

Owners, admins and user admins can manage them. See Roles and permissions.

Add a room or equipment#

  1. Open the Org Panel and choose Calendar resources.
  2. Select Add.
  3. Enter a Name, up to 80 characters, such as Boardroom.
  4. Choose a Type: Room or Equipment.
  5. Optionally enter a Capacity, a whole number of 1 or more, and a Location, for example the floor.
  6. Optionally enter an Address. It is shown for reference only. SipherMail never sends mail to it.
  7. Leave Available to book on, then select Add.

What the list shows#

Each row shows the name, the type, the capacity and location if you set them, and the number of upcoming bookings. A resource that is off shows Not bookable.

  • Use the switch to make a resource bookable or not. Existing bookings stay.
  • Use the pencil to edit it, then Save changes.
  • Use the bin to delete it. The confirmation tells you how many upcoming bookings will be removed. The events themselves stay on people’s calendars.

How members book#

Members choose a room or equipment in the event window, under Scheduling assistant, calendar resources. The assistant marks a taken resource Booked then. A free one is reserved when the event is saved. If someone else books it first, the save is refused with a message to pick another time or resource. See Scheduling assistant.

Limits#

  • Resources work on one-time events, not recurring ones.
  • Only active resources appear to members, and only members of your organisation see them.
  • Turning a resource off stops new bookings. It does not cancel old ones. Delete the resource, or change the events, to clear them.
