Scheduling assistant

Check when attendees are free, get suggested times, and reserve a meeting room or equipment while you create an event.

The scheduling assistant is part of the event window on the web. It shows when the people you invite are busy, suggests times, and lets you reserve calendar resources that your organisation has set up.

Use it#

  1. In Calendar, select New Event and enter a title, start time and end time.
  2. Add attendees.
  3. Open Scheduling assistant, calendar resources.
  4. Read the badge beside each person, then pick a suggested time or change the event.

The assistant needs a start and an end time. Turn off All day to use it.

BadgeMeaning
FreeThe person is free and inside their working hours.
Busy thenThey have an event at that time.
Outside working hoursThey are free, but the time is outside their working hours.
Free/busy not sharedYou are not allowed to see their calendar.
Not on SipherMail, availability unknownThe address has no account here.

Suggested times shows slots within the next week. Hover over a suggestion to see whether it suits everyone, meaning all attendees are free and inside working hours, or falls outside someone’s working hours. If nothing in the next week suits everyone, try a shorter event or fewer required people.

Whose busy times you can see#

You see only busy blocks, never event titles. You can see them for:

  • Yourself.
  • People in your organisation, unless they turned off Show my busy times to my organization. See Calendar sharing.
  • People who shared a calendar with you, at any access level.

Nobody else is visible, and administrators have no override. The assistant checks up to 25 people and up to five weeks at a time. It works from a copy of each person’s events that is refreshed when they open their calendar, so an event they have never loaded in the app may be missing.

Calendar resources#

Under Calendar resources in the assistant, tick a room or piece of equipment. Each shows Booked then if it is taken at that time. A free one reads Reserved when you save. The reservation is made when you save the event, and a double booking is refused with a message to pick another time.

Calendar resources work on one-time events only, not recurring ones. Administrators add them in the Org Panel. See Calendar resources.
