Import mail for members

Admins can import mail from Gmail, Outlook or any IMAP server into a member mailbox or shared inbox and follow each import’s progress.

Admins can bring a member’s old mail into SipherMail from the Org Panel, without the member running the import. It works for member mailboxes and shared inboxes. Owners and admins can use it.

Start an import#

  1. Open the Org Panel and choose Email import.
  2. Select Start new import.
  3. Choose destination: pick the member mailbox or shared inbox that should receive the mail.
  4. Choose provider: Gmail, Outlook / Microsoft 365, or Custom IMAP.
  5. Authorize:
    • For Gmail and Outlook, select Sign in with Google or Sign in with Microsoft. A popup opens, so allow popups for the site. The wizard moves on by itself when sign-in is complete. Sign in with the account the mail is in.
    • For Custom IMAP, enter the Source email address, the Password / App password, the IMAP host and the Port.
  6. Select folders: tick the folders to import. Inbox and Sent are ticked by default.
  7. Start the import. The last step reads Import started.

Follow progress#

The Import Jobs table lists the member, provider, source account, folders, progress, status and start time. Statuses are Queued, Awaiting auth, Completed, Failed and Canceled. Awaiting auth means the sign-in has not finished.

What to expect#

  • The import copies mail into the chosen mailbox. The source account is not changed.
  • You need the sign-in details of the source account. A service that uses two-step sign-in may need an app password for IMAP.
  • If an import fails, start it again.

The rules for what is copied, how history and duplicates are handled, and the limits on connected accounts are the same as for a personal import. See Import your email.
