A team scheduling page is a public link like a personal booking page, but several members share it. Guests need no account and see only free times.
Owners, admins and user admins create them. See Roles and permissions.
Create a team page#
- Open the Org Panel and choose Team scheduling.
- Select New team page.
- Enter a Title, a Page address and an optional Description.
- Under How guests are assigned, choose how the team is used:
- Round robin gives the guest the member who was booked least recently.
- Collective offers only times when everyone on the page is free.
- Under Members, tick the people to include. Use the filter box to find them.
- Choose the meeting lengths, the location and the hours, as on a personal page.
- Keep Accepting bookings on and save.
You cannot change How guests are assigned after the page is created. Make a new page if you need the other style.
Location can be Phone call, In person or Meeting link. Video call works only where video has been set up for your server.
Members must accept#
Each member is emailed an invitation. Until they accept, they are not offered to guests and SipherMail does not read their calendar. A member accepts or declines under Settings > Booking pages, in the Team pages list, and can Leave page later.
The page list in the Org Panel shows each member as Invited, Accepted or Declined. If nobody has accepted, the page warns No member has accepted yet, so guests see no times.
Manage the page#
Use Copy link to share it, Preview to see what guests see, Edit to change it, and the on and off control in the list to stop or restart bookings. Preview is off while the page is off. Deleting the page asks you to confirm.
What members and guests see#
When a guest books, the meeting is added to the calendars of the members it involves. Only their busy times, never event titles, decide which times are offered.
